These Terms & Conditions are designed to ensure a smooth and enjoyable experience for both our clients and our team.
By confirming a booking with Think Scalextric Events, you agree to the following Terms & Conditions.

BOOKING CONFIRMATION:
A booking is considered confirmed once the client has accepted our quotation by email or telephone. By confirming the booking, the client agrees to these Terms & Conditions.
Think Scalextric Events will provide written confirmation of the booking, including the event date, venue, agreed services, and any other relevant details.
PAYMENT TERMS:
• Full payment is due within 14 days of the invoice date unless otherwise agreed in writing.
• For bookings made within 14 days of the event, payment is required before the event.
• Late payments may incur statutory interest and recovery costs in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
CANCELLATION POLICY:
Any event confirmed by email or telephone is subject to the following cancellation charges:
• More than 56 days’ notice: Cancellation will incur the cost of any travel, accommodation, branding, or other event-related expenses that have already been booked and cannot be cancelled or refunded.
• Between 28 and 56 days’ notice: Cancellation will incur a charge of 30% of the total event cost, plus the cost of any travel, accommodation, branding, or other event-related expenses that have already been booked and cannot be cancelled or refunded.
• Less than 28 days’ notice: Cancellation will incur a charge of 70% of the total event cost, plus the cost of any travel, accommodation, branding, or other event-related expenses that have already been booked and cannot be cancelled or refunded..
• Less than 14 days’ notice: Cancellation will incur 100% of the total event cost.
BESTOKE BRANDING & CUSTOM ITEMS:
Where a client requests bespoke branding, printed materials, custom liveries, signage, or other made-to-order items, production may begin before the event date. Once production has commenced, these items are non-refundable, and the client remains responsible for any costs incurred, even if the event is cancelled.
EVENTS BEYOND OUR CONTROL:
Think Scalextric Events shall not be held liable for any delay or failure to perform our services where such delay or failure is caused by circumstances beyond our reasonable control. These circumstances may include, but are not limited to, severe weather, natural disasters, fire, flooding, power failures, vehicle breakdowns, transport disruption, venue closure, government restrictions, industrial action, or any other unforeseen event beyond our control.
Where possible, we will work with the client to rearrange the event to a mutually convenient date. If this is not possible, any refund or transfer of payments will be considered on a case-by-case basis, taking into account any costs already incurred.
DAMAGE TO EQUIPMENT:
Our equipment is maintained to a high standard. During an event, if we believe that our equipment is being misused, abused, or deliberately damaged, we reserve the right to suspend or terminate the event immediately. In such circumstances, no refund will be provided.
The client may also be liable for the cost of repairing or replacing any equipment that is deliberately damaged by attendees during the event.
PHOTOGRAPHY & MARKETING:
From time to time, Think Scalextric Events may take photographs and videos during events for use on our website, social media channels, promotional material, and other marketing purposes.
Where possible, we will always respect the privacy and wishes of our clients. If you do not wish for photographs or videos of your event, venue, branding, guests, or equipment to be used for marketing purposes, please let us know in writing before the event, and we will be happy to respect your request.
Think Scalextric Events will never knowingly publish photographs or videos that are confidential, commercially sensitive, or likely to cause embarrassment or offence.
Where an event is subject to a Non-Disclosure Agreement (NDA) or specific confidentiality requirements, no photographs or videos will be published without the client’s prior written consent.
